PTA Meeting Minutes - October 7, 2009 |

I. Meeting Opening a. Lori Raser called the meeting to order. b. A motion was made to open the meeting (motion – Lynn Vainrib, second – Lori Ware). Motion passed.
II. Recording Secretary a. Approval of minutes – (motion – Jenny Workum, second – Tracy Mason). Motion passed. b. Directory update i. The Directory was sent to PNC on 9/23/09. Per the printer, Directories will be finished on Friday October 9. They should be distributed next week. ii. The following is the policy regarding use and distribution of the Kilgour School Directory: The Kilgour School Directory is compiled and distributed for the exclusive use and convenience of the Kilgour School community. The Kilgour School Directory is not to be used for marketing or other mass/group promotions whose purpose extends beyond the immediate Kilgour School community. We ask that you respect the privacy of your fellow Kilgour families. Any other use or distribution is strictly prohibited. Electronic copies of the directory are not distributed due to a greater likelihood of misuse of the information collected.
III. Treasurer’s Report a. Budget was approved at Open House, however since that time an additional Kindergarten teacher has been added. A motion was made that the PTA budget an additional $700 and $115 for bus for new Kindergarten teacher (Motion – Judy Neff, Second – Steve Wetzel). Motion passed. b. As a result of adding another teacher, it was suggested that we move $500 (new shed) from Buildings & Grounds for Ms. Cook to use for new teacher room supplies (Motion – Tracy Mason, Second – Peggy Groeber). Motion passed. c. $9,300 in donations from sponsors were made for Silent Auction – this is very exciting! d. Lori asked that the teachers give her the John R. Green’s
IV. Principal’s Report a. District and School updates i. Mary Ronin is having a forum at Pleasant Ridge Montessori tomorrow. ii. Renew 52 – CPS Renewal Levy – it will NOT raise your taxes! If the levy is not renewed, class sizes will go up (grades K-3 = 30 kids, grades 4-6 = 35-38 kids), basics such as transportation will be eliminated, etc. The School can not put signs on the school property. Marvin Koenig, former Walnut Hills High School principal, is leading the levy campaign. iii. H1N1 vaccine – Today was the deadline for the forms. Details will follow, but it will be given on site at Kilgour. iv. Power School and Study Island – please sign up! v. Conferences are October 8th and 22nd. Report cards will be distributed October 23rd. vi. There will be a special Art dedication at the Winter Concert vii. Additional Kindergarten classroom – a 5th teacher, Erin Hans, is being added. The classroom will have 11 students in it. The 26th student in each of the current classrooms will be moved into this class as well as 7 of Mrs. Welles’ current class, leaving Mrs. Welles with 18 students, and the other 3 Kindergarten classrooms at 25 students. The new classroom will be in the current staff lounge. ISS was not big enough for the classroom. There are 225 identified gifted students at Kilgour, so moving that classroom was not feasible. Waterford had a recent upgrade and there is not an additional location in the building with networking capability. The teacher’s lounge will be part of the “community room”. Space remains a big issue at Kilgour. LSDMC is considering an idea of the old Linwood site as an “Early Childhood Learning” location for Kilgour. viii. Recess before lunch (grades 1-3) – Kids are talking in the lunchroom and are not finishing their lunches. The delay in eating is impacting instructional time. Ms. Cook is looking for feedback about this issue.
V. Teachers’ Report (read by Ms. Cook as Mrs. Armstrong was unable to be here) a. Mrs. Armstrong is still happy to be here. b. Mrs. Armstrong thanked the PTA. c. Thank you for supply money. d. Thank you for the Entertainment books.
VI. New Business a. Melody Blume and Melissa Nelson looking for someone to take over Market Day i. A suggestion was made that people develop “volunteer responsibility lists” as they are looking to transition their volunteer position ii. Lori Raser also indicated that she would be happy to sit down and talk to people about volunteer responsibilities iii. Amy Adam related that people may be reluctant to step up because they feel they might be “stuck” with a volunteer job until their kid leaves Kilgour. She suggested that a 2-year term might make it more enticing for individuals. VII. Old Business a. Include all students in any PTA-sponsored event – this was voted on and approved at the June 10, 2009 PTA meeting. PTA Program committee puts on assemblies and the PTA believes that no children should be excluded. Lori Raser related that 4th and 5th grade teachers have put academic and behavior requirements on kids this year to attend events, such as Harvest Dance and assemblies. Lori asked Ms. Cook how this should be handled. Ms. Cook will talk with teachers about this, but stated that children who engage in disruptive behavior, such as fighting, or other violations of CPS code of conduct will not be permitted to attend these events. b. Judy Neff reported that the first scholarship meeting occurred next week. Three members attended, but more are encouraged. Proposed criteria: attend Kilgour for 3 consecutive years. The committee is looking at other criteria. Next meeting is October 21 or October 26.
VIII. Board Members’ Update a. President i. Grant Writer - Letters of inquiry have gone out to the following: A Good Neighbor Foundation, The H.C.S. Foundation, and The Marge and Charles Schott Foundation. ii. Ms. Cook related that Best Buy will be meeting with her next week to discuss the Technology Award that Kilgour won from the Marvin Lewis Learning is Cool incentive program.
b. President –Elect i. Silent Auction – Jenny Workum thanked Tracy Mason for all her sponsorship efforts. Tracy is looking for someone to take over that role and would be happy to train. Jenny thanked Great Gatherings team, Donations team, and Jules Hemsky for doing invitations. Invitations will come home in backpacks of the youngest child at the end of this week. This is a huge fundraiser and we encourage everyone’s participation. People are encouraged to RSVP quickly as this helps us to get a handle on the numbers so we can prepare the right amount of food, etc. PTA is going to provide parents with the opportunity to sponsor a teacher to attend the event. 1. Jules also mentioned that she now has a “youngest child” list in case people need this for any papers that are going home.
c. First Vice Presidents – Room Parents – no report.
d. Second Vice Presidents – Programs i. Writing contest – Dave Shirey reported that we kicked off the writing contest. Stories will be collected in a month and the winners will get to have lunch with an author. ii. We are looking into the possibility of having a BMX display/demo in the spring.
e. Third Vice Presidents – Carnival – Amy was not present; there was no report.
f. Fundraising Chair – Jane was not present; there was no report.
g. Inside/Outside Enrichment - Diane Brueggeman related that Beechmont Roller Arena is holding 3 dates for us (January 22, February 5, February 19). Harvest Dance is October 30 from 2:00 – 3:30 p.m. There will only be one ski day this year – February 8 – due to the school schedule. Peggy related that she needs someone to take this over because her child is in 6th grade this year. January 29 and February 26 are tentatively set for bowling (4th – 6th grade).
h. Corresponding Secretary – Judy sent flowers to Mary Ronin from the PTA because her mother passed away.
i. Public Relations – The deadline for January Hyde Park Living is October 31. Kilgour has our own column in Hyde Park Living and Beth Schenk sends information, so if anyone has any information, please send it to Beth. The editor is even willing to do a headline story for Kilgour. We can get information to the Community Press regarding the Silent Auction before the auction. A suggestion was made to PR the Marvin Lewis Technology award.
j. Auditor – David Carns was not present; no report.
k. Buildings and Grounds i. Dead tree by Kindergarten pickup area – CPS will be cutting the tree down, hopefully October 16 and 19. Official paperwork was given declaring the tree officially dead. ii. Shed – Discussion that the shed has continuously been broken into on the weekends. Options for sheds were discussed. A suggestion was made to put a noise alarm on the shed to deter teens and other youth from doing this.
l. Membership – Lynn Vainrib reported that we have about 214 members. This committee will be gathering rosters and encouraging the classroom with the most participation with a party.
m. Technology i. Kilgourpta.org is now hosting multiple calendars – there will be calendars for academics, sports, and clubs. There is a dedicated volunteer for this and you send an email to

. ii. Script-All firm is defining requirements for us to develop system to allow parents to manage the communications they want and how they want it from PTA via email, take home folder, etc. iii. Banners on the front will be redone to emphasize that we are the only CPS school rated Excellent with Distinction. iv. Would like to link to the ODE Kilgour report card off of our main site. v. Library software – Kilgour is waiting for the quote and Mrs. Wallace is planning to do the software installation on October 16 and 19.
n. LSDMC – next meeting is October 26 at 4:30 p.m. in the library.
IX. Mary Welsh Schlueter introduction – Kilgour parent running for Cincinnati School Board a. Mary wants to run to encourage academic acceleration in CPS b. She gave a handout on her platform.
